MERRIAM ROOM POLICY
AUBURN PUBLIC LIBRARY

When not needed for Library-related activities, the Merriam Room is available to Auburn residents for meetings of a cultural, entertainment, educational or civic nature. The room must be booked by an Auburn resident, 21 years of age or older with a library card in good standing, who will be in attendance at the event and responsible for ensuring that the policy is followed. Groups are responsible for arranging tables and chairs as they desire, and returning the room to original order and in a clean and neat condition before leaving. There are diagrams of the original set up posted on the wall next to the exit doors. Events in the meeting room must not interfere with the normal operation of the Library. The hours the facility is available for use:

 

Monday – Thursday 9:30 AM – 8:15 PM

Friday 9:30 AM – 5:15 PM

Saturday 9:00 AM – 12:45 PM

The room seats a maximum of sixty (60) people and measures twenty-four (24) feet by forty (40) feet, including a small stage. The room is accessible for the elderly and physically disabled. The public may apply to borrow audiovisual equipment for use in the room.

An application form should be placed with the Library Director at least two (2) weeks prior to the meeting date. Two reservations may be booked in advance. However, no reservations will be accepted in April, June, July and August. A single reservation for the next month may be made on the day of the applicants scheduled meeting. All room requests are subject to change at the discretion of the Library Director. The individual or group reserving the room must notify the Library in case of cancellation. The Library Director reserves the right to close the building due to severe weather or other emergency situations.

Only nonprofit groups may use the room, with no fees or membership dues required for attendance.

Meetings may not be scheduled for days or times when the Library is closed. ALL MEETINGS MUST END FIFTEEN MINUTES PRIOR TO THE LIBRARY'S CLOSING TIME, THE ROOM MUST BE RESTORED TO THE ORIGINAL CONDITION AND THE PREMISES MUST BE VACATED BY THE LIBRARY'S CLOSING TIME.

Meeting participants must conduct themselves in a manner which will not interfere with the normal operation of the Library. Meeting participants are subject to the same rules as other Library users.

Groups wishing to serve refreshments must provide them. Meeting organizers must bring their own paper goods, dishes, utensils and anything else required to serve refreshments. Food and beverages are not permitted anywhere except in the Merriam Room. SMOKING AND ALCOHOLIC BEVERAGES ARE NOT PERMITTED ANYWHERE ON THE LIBRARY PREMISES.

The Library is not responsible for loss or damage to personal or group-owned property.

FAILURE TO COMPLY WITH THESE REGULATIONS WILL RESULT IN LOSS OF FUTURE MEETING ROOM PRIVILEGES.

Any question of interpretation of these regulations will be referred to the Library Board of Trustees.
